Release Notes 3.96
These updates announce new features, enhancements, and some bug fixes that have been completed with recent releases of the Club Prophet software. The updates in the release notes are organized by product. Some products will not appear in the list because they did not receive a notable update. Club Prophet continually improves upon the products, but only significant updates are described in release notes.

CPS Air v3.96
New Features in CPS Air

When the customer is paying with a credit card on file, the last four digits of their default credit card displays. This will help to determine at the time of check out which credit card will be charged giving your customers the assurance that the correct card is being charged.

If the user rule is enabled, the current employee who is logged in can return a transaction. If disabled, the employee currently logged in would be prompted for a pin to allow a return, when they click the Return button.

A customer who has a card on file will have a Card-on-File icon that displays in the tee sheet after making a reservation in CPS Air as it does in StarterHut v3. So now, you can see from the tee sheet which customers have a card on file and which do not. This may lessen the chances of mistakes when checking in the customer with a card on file, and also give an employee a heads up when finalizing the sale.

You can now have your notes populate from the Customer module to the Sales screen. This will help to streamline communication between employees and departments in regards to specific customers.

When a customer starts a tab on CPS Air can automatically add a seat number to the tab, you can enable or disable this feature with the 3.96 release.

The F&B daily notes show up on the PIN screen and now this is a global F&B feature that translates to CPS Air in version 3.96. This feature is a way to make staff aware of specials or other important messages at the time they log in for work.

In the 3.96 release, Capacity Pricing is being used in CPS Air at the time of booking.

POS Express v3.96
Starterhut v3

There is a way to set the default name of a Daily Deal to Green Fee in version 3.96. An option to set the Daily Deal default name is available in the Daily Deals - Special Tee Time screen. You may want to do this for example if you are mostly running dynamic pricing, and you would like to save some time updating the description from Special to Green Fee.

The Validate Data Entry section in Starter Hut v3 distinguishes between Customers and Players in the 3.96 release. This can help you with the Guest Tracking feature within Starter Hut so you can do things like limit the number of guests that can book within a year. Also, this alleviates the time required to enter guest information which is the same amount of information as a new customer registration requires to enter; this is especially helpful for when your course gets busy and you may not have the time to record the information.

There are times when you need to change the expiration date on a raincheck for your customers. Now you can with the 3.96 updates. A button is available to reset the expiry date will be available and unlocks the date field to allow an adjustment.

In Starter Hut v3, when booking events at the same time as existing tee times, you are now warned that the event will override preexisting tee times in version 3.96. The prompt allows you to choose to not override those times when booking an event with the options to Cancel, Print, or Continue allowing you to make multiple reservations over a period of time without altering or overriding already existing bookings that might exist during the time frame. This allows potential issues of overriding already booked customers with events to be averted.

When blocking cells on your tee sheet, you can display that blocked time with a color of your choosing. Previously those cells were shown as blocked on the tee sheet from the at a glance view only. The X was a visible indicator for the blocking in the actual tee sheet but since the 3.96 update, all of the cells will be highlighted with your desired color.

The functionality to differentiate the paid tee time color between the 9-holes and 18-holes was added in 3.96. So now you can break the Paid Time Color 18 Hole and Paid Time Color 9 Hole out so they each can have their own color.

Members can book online for sister clubs with less restrictive set limits as to how often at each club in version 3.96.

In the 3.96 update, when you move a dynamic price-customer, you will be able to decide to hold the initial dynamic price your customer received at the time of the booking or to update to the price that the customer will receive when moved.

In release 3.96, when you are booking a tee time in Starterhut v3, you have the ability to type the number of players and the system will generate that amount of booking cells, instead of you using the mouse to select the number of cells.

Prior to the 3.96 update, there were issues with dynamic prices coming onto the tee sheet at $0. This is fixed.

F & B

As of 3.96 release, you have the ability to move and order the way your floor/room layout is organized in the F&B screen. This should aid to speed up the selections, and also order the way your restaurant is set up for when you may need to move things around from one area to another area

If you have an email template selected for sending out statements, you are able to type in the Description area so that the description you entered is sent out in the email statement to the customers in the 3.96 release.

A new keyfield was added in release 3.96 for the due date on deposits for email reminder templates so that your customer knows how long they have to pay and they can't argue on those due dates.

Reports

For a list of customers with credit cards that are no longer valid, the Batch Payment on Account by Store report can generate one.

In the 3.96 release, an email field was added for the customers whose credit cards were declined in the "Declined List" of the batch credit card process, so that you can email them to let them know.
Customer Module

In 3.96, the expiration date of a credit card is detected if it is expired when the customer is booking a tee time in your Online Reservation site. If it is expired, the customer is warned, they can proceed after they enter a correct expiration date.

In the 3.96 release, a new field in the Customer module is available below the Expiration Date field called the Anniversary Date field. You could use this field for wedding anniversaries or the anniversary of the day the customer joined as a member so that you could acknowledge the customer on their special day with letters, gifts, offer specials, etc

Inventory Module

When you delete a store code of an inventory item and there are units in stock, you are prompted to reassign the units in stock. Previously to version 3.96, the item would go into the unassign store code bin. Tracking this store code makes it easier for you to uncover any related issues. The software also records an item in the inventory item edit log.
Online Reservation v4

On the Tee Time Confirmation screen, when the player has a chance to review and change the selected number of players, riders, and holes; the line items now include tax in the 3.96 release. The tax and subtotal lines have been removed since there will be no need for them after the line items include tax. This way the items show with tax and only one total so it is easier for users to know how much they need to pay.

In the 3.96 release, you can limit how many times a unique customer can appear on the tee sheet.
For example, a customer has a single member account assigned to multiple people to use, so one account is shared between everyone at a particular company. Now you would like that account only to have a limited amount of people play per day.

When searching for a golfer who shares the same name as another golfer, additional identifiers were added to the Buddy List in the 3.96 release so you can distinguish the golfers; that you can select the correct golfer. A drop-down was added to include city and state to the Buddy list to aid your selection. The data can also be sorted.

Online Billing

In version 3.96, an option was added in the Online Billing module to show an expired date for customers when they log in.

Webstore

In the 3.96 release, the Web store and the Moneris credit card setup has been updated.
Lesson Book

In the 3.96 release, Lesson Book has the ability to charge the customer's credit card in the online portal. The customer has the ability to enter 100% if they want the full lesson payment submitted at the time they book the lesson.
